Instructions for speakers
- All sessions will be hybrid. Participants may join and present either in person or online. Last-minute changes from in-person to virtual presentations are allowed.
- Speakers do not need to submit their presentations in advance. They can bring their presentations on a USB drive in PDF format or download them from their personal clouds/emails on the room's PC. Alternatively, speakers can use their own laptop to connect to the corresponding Zoom session, following the instructions in the virtual area.
- Online participants must follow the instructions in the virtual area. In-person speakers will find information about the venue in the In-person area.
- In-person speakers must use the rooms' PCs and share their presentations via the Zoom session open there under the name of the room.
- All presentations must be shared via Zoom and the microphones must be turned on so that virtual participants can listen.
- Please verify with the online conference assistant (identified as "Angel" on Zoom) that the virtual attendees can hear you and see your presentation on Zoom.
- Standard talks are 20 minutes, including 2 minutes of discussion coordinated by the chair. Strict timing must be observed.
Instructions for chairs
- The chairs of the hybrid sessions can be in-person or online. In-person speakers should follow the above instructions to ensure that the onsite part runs smoothly.
- If you are a virtual chair of a hybrid session, please make sure that you can communicate with the in-person speakers and guide them through the process. In case of problems, please inform the Angel in the Zoom room promptly so onsite conference staff can assist.
- Please be in the room 10 minutes before the session starts to prepare it.
- Make sure that the PC is connected to the Zoom room associated with your assigned room. Otherwise, please follow the instructions to access the virtual area with your user or contact the conference support desk in the virtual support room (passcode 112).
- Coordinate with the Zoom room Angel to verify that the virtual participants can hear and see the room.
- With the help of the Angel, please identify the virtual and in-person speakers and ask the in-person speakers to copy their presentations to to the conference room PC desktop and verify functionality.
- Ensure that all speakers speaking away from the PC desk move closer so that virtual participants can hear them.
- Read and follow the instructions for general chairs of the virtual sessions.
